Office Administrator

The Catholic School of Evangelizations (St-Malo Mb) is looking for a dynamic Office Administrator who would be responsible for ensuring the smooth running of the CSE by conducting day-to-day office and administrative support activities.   He/she will ensure that the office operations work efficiently and follow CSE policies and procedures.

Job Description

 

The Catholic School of Evangelization (CSE) is a Roman Catholic lay apostolate committed to inviting young people into a deeper relationship with God, others and with self. In a spirit of service and collaboration with our local Church, we form disciples of Jesus, through our Discipleship Formation Program, summer and winter camps, formation days/evenings and retreats to serve the Church’s urgent call to evangelization. The CSE also offers facility rentals, for overnight retreats, day retreats, conferences, and pilgrimages for the faithful of the Archdiocese of St. Boniface, Winnipeg, and Archeparchy of Winnipeg.

 

The CSE is looking for a dynamic Office Administrator who would be responsible for ensuring the smooth running of the CSE by conducting day-to-day office and administrative support activities.   He/she ensures that the office operations work efficiently and follow CSE policies and procedures.

 

Job Type – Term; one year contract

 

Job Location - St. Malo, Manitoba

Salary -  to commensurate with qualifications and experience

Benefits -  Health benefits as provided by the Archdiocese of Saint-Boniface

Schedule - 40 hours per week, Monday - Friday (plus periodic evening and weekends when applicable)

 

Remuneration:  Commensurate with qualifications and experience

 

Skills

  • Dynamic living relationship with Jesus Christ

  • Faithfulness to the authentic teaching of the Roman Catholic Church and the spirituality of the CSE

  • Ability to multitask and prioritize tasks and projects

  • Energetic with strong organizational and communication skills (verbal and written)

  • Excellent interpersonal skills; ability to interact effectively with all levels

  • Dependable, high integrity - confidentiality is a must

  • Able to work autonomously, with minimal direction, but also a team player

  • Understands people and knows how to adapt working styles

  • Self-starter with strong attention to detail

  • Experience working with volunteers

  • Fluency in both French and English (written & spoken)

 

The Office Administrator will report to the Executive Director of the CSE (CEO) or report directly to the CSE’s volunteer Board of Directors in the absence of a CEO. With the CEO the office administrator is responsible for carrying out the board’s decisions and carrying out the day to day operations of the CSE.  

 

Responsibilities

  • Logistics & coordinating CSE activities (camps, retreats, conferences) 

  • Booking and rental of CSE facilities

  • Answering phone calls, mail and emails, greeting customers and guests

  • Overseeing the work of other staff members

  • Newsletter preparation & mail out

  • Fiscal management; payment of bills, preparing deposits, proper recording of revenues and expenses, including other banking related duties

  • Apply and maintain the operational and administrative policies

  • Report to the CEO or report directly to the CSE’s volunteer Board of Directors in the absence of a CEO on a regular basis as directed

  • Ensure budgetary adherence

  • Prepare and send out Charitable Tax receipts (mail and email)

  • Help out with CSE events when needed

  • Other duties as reasonably requested
